Job Title: Event Assistant

Reports To: Event Coordinator/Manager

Job Summary:

We are seeking an enthusiastic and organized Event Assistant to support the planning, coordination, and execution of events. The ideal candidate will possess strong communication skills, attention to detail, and the ability to work efficiently in a fast-paced environment. The Event Assistant will work closely with the Event Coordinator and other team members to ensure smooth operations for various events, from corporate conferences to social gatherings.

Key Responsibilities:

• Communicate with vendors, suppliers, and contractors to confirm event details and ensure timely delivery of services.
• Prepare and distribute event materials, including signage, agendas, and promotional materials.
• Manage event schedules, ensuring all aspects run according to plan and timelines are adhered to.
• Assist in post-event tasks, including clean-up, tracking event feedback, and organizing materials for future events.
• Ensure that event spaces are properly decorated and ready for guests, ensuring compliance with safety and venue regulations.
• Provide administrative support, such as maintaining guest lists, updating contact information, and tracking event budgets.
• Assist in creating promotional content for events, including social media posts, email newsletters, and flyers.
• Assist with client communication, including answering questions and providing event details.

Qualifications:

• High school diploma or equivalent required; Bachelor’s degree in Hospitality, Event Management, or related field is a plus.
• Strong organizational and multitasking skills.
• Excellent written and verbal communication skills.
• Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
• Ability to work flexible hours, including evenings and weekends, as required by event schedules.
• A positive, proactive attitude with a focus on customer service.
